Privacy Policy

Last updated: October 14, 2026

This Privacy Policy explains how FlowHVAC ("FlowHVAC," "we," "us," or "our") collects, uses, discloses, and protects information when you visit our website, complete a form, contact us, or purchase our services. FlowHVAC is operated by an individual and is not currently represented as a registered LLC or corporation. This policy describes intended practices and must be checked against the tools and data practices actually enabled.

1. Information we collect

Depending on how you interact with us, we may collect:

2. How we use information

We may use information to respond to inquiries; assess whether our services fit your needs; prepare proposals and define scope; process and confirm purchases; onboard customers; configure, test, and support agreed workflows; send service-related notices; maintain security; prevent fraud; comply with legal obligations; and improve our website and services.

3. Payment processing

Payments may be handled by Stripe or another payment processor shown at checkout. Your payment is subject to that provider's privacy policy and terms. We receive information needed to confirm and administer the transaction, but payment-card data is handled by the payment processor rather than entered into our own website forms.

4. Forms, hosting, and other service providers

FlowHVAC uses or plans to use Netlify for website hosting, Tally for forms, Stripe for payment processing, Calendly for scheduling, and Make for workflow automation. Each provider may process information when you interact with a feature that uses it. These providers have their own terms and privacy notices. Not every tool is necessarily connected to this website or processing customer information at this time; the live configuration must be verified before accepting payments or collecting customer data.

5. How we share information

We may share information with service providers who help us host the website, process payments, collect forms, communicate with customers, or deliver the services you request. We may also disclose information when required by law, to protect rights and safety, to investigate fraud or security issues, or in connection with a business transfer. We do not sell personal information for money. Do not submit information about your own customers or leads unless you are authorized to share it for the stated purpose.

6. Customer lead data and permissions

If an implementation involves information about your leads or customers, the parties should agree in writing on the data involved, the purpose of processing, access controls, retention, and deletion before any real customer data is transferred. You are responsible for having the rights, notices, and permissions required to provide that data and to contact your leads. Do not send passwords or sensitive credentials through ordinary website forms or email.

7. Cookies and analytics

Our hosting provider may use technical logs or essential technologies to operate and secure the website. If we add analytics, advertising pixels, or non-essential cookies, this policy and any required consent tools should be updated before those tools are enabled. Your browser may allow you to manage cookies, although blocking some technologies can affect website functionality.

8. Data retention and security

We keep information for as long as reasonably necessary for the purposes described in this policy, including service delivery, recordkeeping, dispute resolution, security, and legal compliance. Retention periods depend on the type of information and the relevant legal requirements. We use reasonable administrative and technical safeguards appropriate to the information, but no website, transmission, or storage method can be guaranteed completely secure.

9. Your choices and privacy rights

You may contact us to request access to, correction of, or deletion of personal information we hold, subject to identity verification and applicable law. Depending on where you live, you may have additional privacy rights. We will handle eligible requests as required by law. You may also opt out of non-essential marketing communications by following the instructions in the message or contacting us.

10. Children

Our business services are intended for business customers and are not directed to children. We do not knowingly collect personal information from children in a manner that violates applicable law.

11. Third-party websites

Our website may link to third-party websites or services. Their privacy practices are governed by their own policies, and we are not responsible for their independent practices.

12. Changes to this policy

We may update this policy as our services, providers, or legal obligations change. The date at the top indicates when this page was last updated. Material changes will be reflected on this page, subject to applicable law.

13. Contact

For privacy questions or requests, email hsacts365@gmail.com. FlowHVAC does not publish a business mailing address on this page.

Important: This is a general template, not legal advice. It must be checked against your actual data practices and reviewed for applicable state and federal privacy requirements before you use it as your final policy.
